IP Legal Administrative Assistant - San Francisco, CA
Core Responsibilities:
Comprehensive knowledge of specific Intellectual Property department guidelines
Maintain and update files, including file openings, file applications, responses, etc. with USPTO
Responsible for preparing and maintaining IDS
Review issued patent for errors, determine expiration date of patent, prepare certificate of correction, if necessary
Responsible for preparing, coordinating and circulating reporting letters to clients
Responsible for uploading documents and preparing engagement letters
Effectively set priorities, meet deadlines and manage multiple projects
Ability to pay attention to the minute details of a project or task (i.e. calendaring, meeting coordination, timesheet entries, travel plans, file openings)
Must be able to work in a fast-paced environment, independently, as well as in a team setting
Exceptional attention to detail; ability to draft and/or edit documents accurately and quickly (i.e. cover letters, pleadings, loan documents, meeting agendas, e-mail correspondence)
Proficient in LegalKey, Intapp, Carpe Diem, Document Management system, and Microsoft programs Word, Visio, Excel and Outlook
Professional communications and ability to develop rapport with clients; maintain strong working relationships, handle confidential and sensitive information.
Responsible for scheduling and coordinating travel arrangements (Attorney travel)
Responsible for overseeing invoice payments/expenses/reimbursements (Chrome River)
Coordinate tracking of CLE for attorneys
Annually complete eight hours of continued technical education through the Firm's training department
Experience:
Minimum two to five years related experience
Litigation experience is plus
Some knowledge of Intellectual Property is a plus, but not required
