Legal Administrative Assistant - Natural Resources, Environmental, and Energy

The ideal candidate is a detail-oriented professional with extensive experience as a legal assistant and a proven track record of managing filings in both state and federal court jurisdictions. This role requires exceptional organizational skills, the ability to thrive in a high-pressure environment, and a proactive approach to supporting complex legal matters. Some key responsibilities include:

  • Provide comprehensive legal administrative support to several attorneys in two different practice groups (1) Litigation, and (2) Natural Resources, Environmental and Energy including calendar management, scheduling, and coordinating meetings, travel, expense reimbursement processing, telephone calls, and mailing distributions.
  • Prepare, proofread, and finalize legal documents, including pleadings, motions, briefs, contracts, and correspondence, ensuring accuracy and compliance with court requirements.
  • Manage and execute filings in state and federal courts, and regulatory agencies including electronic filing systems (e.g., ECF, PACER), ensuring timely and accurate submissions in line with court rules and filing requirements across multiple jurisdictions
  • Maintain and organize case files, ensuring all documents are accurately filed and easily accessible in both physical and electronic formats.
  • Coordinate and track filing deadlines, court appearances, and regulatory submissions.
  • Schedule depositions, hearings, and client meetings.
  • Assist with document production and discovery management.
  • Handle confidential and sensitive information with the highest level of discretion and professionalism.
  • Assist with special projects related to renewables, natural resources, and environmental law, such as regulatory compliance filings or transaction closings.

 Required Qualifications

  • 5+ years of experience as a legal assistant with at least 3 years supporting attorneys in complex litigation or transactional matters
  • Extensive experience with state and federal court filings and procedures.
  • Strong knowledge of court rules, deadlines, and filing requirements.
  • Familiarity with legal terminology and processes related to renewables, natural resources, or environmental law is a plus.
  • Advanced skills in Microsoft Office Suite and document management systems (iManage, Sharepoint, Microsoft Teams).
  • Exceptional organizational and time management skills.
  • Strong attention to detail and accuracy under pressure.
  • Excellent written and verbal communication skills, with meticulous attention to detail in drafting and proofreading legal documents.
  • Ability to manage multiple cases and priorities simultaneously.
  • Ability to work independently and collaboratively within a team, demonstrating initiative and problem-solving skills.

Preferred Qualifications

  • Bachelor’s Degree preferred but not required; equivalent experience will be considered.
  • Familiarity with state and federal e-filing systems across multiple jurisdictions
  • Experience with regulatory filings
  • Knowledge of natural resources, environment and renewable energy project development processes
  • Experience with complex litigation support
  • Previous experience at a medium or similar large law firm/AmLaw environment
